Site Visit

During the initial site visit, the Wolfe Inc team takes a comprehensive approach to understanding the client's project vision. We begin by walking through the project space, carefully examining the existing conditions and listening to the client's specific hopes, dreams, and functional requirements. This hands-on exploration allows our team to gain critical insights into the unique characteristics of the space and the client's expectations. Following the site walk-through, we sit down with the client to provide a detailed overview of our working process. We share our standard documents, including our preliminary estimate methodology and our commitment to transparency. This meeting is designed to build trust, demonstrate our expertise, and ensure the client understands each stage of our collaborative approach - from initial concept to project completion. By the end of the site visit, clients have a clear understanding of how Wolfe Inc will transform their vision into reality.

Preliminary Estimate

The preliminary estimate is a critical first step in our project planning process, providing clients with an initial, high-level understanding of potential project costs. Our team carefully analyzes the project scope, drawing from our extensive experience with similar projects and considering factors such as square footage, complexity, and specific client requirements. We develop a comprehensive spreadsheet that breaks down costs into broad categories, offering a transparent and realistic range of potential expenses. Accompanying the cost spreadsheet, we provide a detailed document that explains the methodology behind our estimate. This includes an overview of our approach, the specific factors considered in our calculations, and a breakdown of what is and is not included in the initial projection. Our goal is to give clients a clear, honest, and comprehensive view of the potential investment required for their project. This preliminary estimate serves as a foundation for further discussion, helping clients understand the scope of their project and make informed decisions about moving forward.

Pre-Construction Agreement

The Pre-Construction Agreement (PCA) is a strategic partnership that allows clients to engage Wolfe Inc's expertise before fully committing to the entire project. For a modest, fully refundable fee of $1,000-$5,000, clients gain access to a comprehensive pre-construction process that goes far beyond a typical bid. This agreement enables us to provide critical pre-project services, including scheduling preliminary project timelines, conducting exploratory demolition to assess structural conditions, performing hazardous materials testing, and developing a detailed, precise project estimate. By investing in the PCA, clients benefit from our team's proactive approach and deep expertise. We can order long-lead time materials, engage with city permitting processes, and facilitate initial conversations between design professionals, clients, and our construction team. This approach ensures that clients have a thorough understanding of their project's potential challenges and opportunities before making a full commitment. The PCA fee is entirely credited back to the client on the first construction phase invoice, making it a risk-free way to begin their project with Wolfe Inc's professional guidance.

Detailed Estimate

The detailed estimate represents our most comprehensive and precise project cost projection, developed through a meticulous, collaborative process. After receiving initial project plans, we distribute these to our network of specialized subcontractors at least a week in advance of a comprehensive trade walk. During this carefully orchestrated meeting, design professionals, clients, and all trade specialists come together to review plans, ask questions, and gain a complete understanding of the project's nuanced requirements. Following the trade walk, subcontractors have up to two weeks to prepare detailed bids, while our team simultaneously compiles an exhaustive breakdown of materials and labor costs. Our final detailed estimate is presented as two critical documents: a comprehensive spreadsheet divided into 17 precise divisions—covering everything from general conditions to specific trade work—and an accompanying narrative document that explains each line item in depth. This approach provides clients with unprecedented transparency, breaking down costs into granular categories like concrete, woodwork, finishes, and mechanical systems, with each category including a contingency buffer to protect against unexpected expenses.

Contract Signing

The contract signing marks the pivotal moment when our collaborative vision transforms into a concrete plan of action. After carefully reviewing the detailed estimate and understanding our comprehensive project approach, clients sign the home improvement contract, officially launching their project with Wolfe Inc. This significant step represents more than a financial agreement; it's a commitment to our shared vision of exceptional craftsmanship and transparent project management. Immediately following contract signing, our team springs into action. We begin ordering materials, strategically timing purchases to optimize cost and availability, particularly for long-lead items like custom windows or specialized fixtures. Our project management team initiates the detailed scheduling process, creating a dynamic project timeline that will be regularly updated and shared with the client. The first invoice will reflect the pre-construction agreement fee, which is fully credited, symbolizing our commitment to building trust from the very beginning of our working relationship.

Construction

Wolfe Inc's ongoing project management is defined by our commitment to transparency, communication, and meticulous tracking. We conduct weekly meetings to review project progress, using dynamic scheduling tools that provide clients with real-time insights into completed and upcoming tasks. Our color-coded project timelines allow clients to instantly understand the project's status, with dark blue indicating completed work and other colors representing different stages of progress. Every two weeks, clients receive a comprehensive project update package consisting of three critical documents: a detailed invoice, a comprehensive cost breakdown, and a budget update. The invoice mirrors the original project estimate, tracking expenses by precise cost codes. The cost details document provides granular information about labor, including employee work logs and material purchases, while the budget update offers a forward-looking view of remaining funds in each project category. This systematic approach eliminates financial surprises, provides complete transparency, and gives clients unprecedented visibility into their project's financial and operational progress.
